The AI notetaker risk is now an everywhere problem

The businesspeople adopting AI notetakers are not being reckless. They are responding to a real business need. Our teams are in meetings all day with companies we support, and the idea that we could read a clean summary of every one of them at the end of the day makes us better partners to our customers. At the AI-first startups we spend time with, a new account manager can walk in on day one, inherit the full recorded history of every customer conversation, and ask the AI what that customer actually cares about. That is not surveillance culture for its own sake. It’s a better way to serve people.

Still, AI notetakers present cyber risks, as we have been warning about for the past year: shadow adoption measured in hundreds of accounts in a matter of weeks, vendors without SOC 2 or real encryption, consent liability, litigation exposure. In April, one of us stood on stage at the [un]prompted conference and argued that the most important attendee in your meetings is no longer a person. AI notetakers decide what matters, assigning the action items and providing the summary that becomes the meeting’s official record.

But our early warnings about AI notetakers shared an assumption we no longer hold: that the notetaker joins the meeting. That assumption quietly died this summer, as the notetaker has left the meeting platform and moved onto the body — and policies haven’t noticed let alone caught up to this change yet.
